Invitation to members to table motions and RSVP

We are delighted to confirm the date of the BGTW Annual General Meeting on 2nd February 2026, with this email serving as the 70-day clear notice to both register to attend and submit any motions or business. 

The AGM is when BGTW members gather to review governing documents and hear and discuss the year’s programme (including any new proposals and projects) with the Board and fellow members. A quorum is required to run the AGM, so please sign up below to attend in person or online at your earliest convenience.

  • Time: 11.00am to 5.30pm
  • Venue: International Students House, 1 Park Crescent, London, W1B 1SH
  • Evening Social: from 6.00pm (Venue to be announced shortly)

It would be helpful to receive your responses ASAP so we can finalise the numbers for the working lunch etc, but registration is possible until midday on Thursday 29th January 2026.

Even if you are not planning to attend the AGM, please still complete the registration form to indicate that you will nominate a proxy or would like to send formal apologies.  Please note, the BGTW Articles stipulate that information on the AGM should be sent to all members, including Associate members. Associate members should not complete the registration form as the Articles also stipulate that Associate members are represented at the AGM by the designated Associate Representatives who attend and vote on the Associates’ behalf. 

The later start is to try to accommodate members who are coming from further afield, still to be able to travel off-peak. 

Submitting a motion

The Board is inviting members to table motions to amend the Guild’s governing documents, and any other agenda items you may wish to have discussed and voted on at the meeting.

A special resolution is required to change the wording of the BGTW’s governing documents, so either the Articles of Association or the Regulations. If you would like to propose a change, you must specify the following:

  • which Article or Regulation you are proposing to change;
  • the wording of the proposed change, highlighting exactly what is to be removed, added or amended;
  • the rationale behind the proposed change.

The completed form must be submitted by 5.00pm (GMT) on Friday 2nd January 2026. Submissions past that time will not be considered.

We will then distribute the final agenda, including all formal papers, by no later than 28 days before the AGM as per the Articles.
